Planning the perfect children's party

27/03/2025

Hosting a children’s party can feel like a daunting task, but with the right planning and a few clever tricks, you can create a fun-filled event that’s enjoyable for both kids and adults. Whether you’re celebrating a birthday, a special achievement, or just gathering friends for a good time, this guide will help you run the perfect children's party with minimal stress and maximum fun!

Step 1: Planning Ahead

A great party starts with good planning. The earlier you start, the easier things will be on the day.

Choose a Theme:

  • While not essential, a theme can make planning easier and add excitement. Popular options include superheroes, space, dinosaurs, fairies, and science-themed parties.

  • Let the birthday child help choose – it makes them feel special and involved.

Set a Budget:

  • Costs can quickly add up, so decide early on how much you want to spend on venue hire, decorations, entertainment, and food.

Pick the Right Venue:

  • Home parties work well for small gatherings, but if you’re inviting lots of children, consider hiring a hall, soft play centre, or even an outdoor space like a park.

Set the Date and Time:

  • Avoid clashes with school holidays or local events.

  • For younger children, mid-morning or early afternoon is ideal to avoid nap-time tantrums.

Plan the Guest List and Invitations:

  • Keep numbers manageable – remember, for every child invited, there may be a parent to accommodate too.

  • Send invites out 3–4 weeks in advance, and request RSVPs to plan food and party bags accordingly.

Step 2: Organising Activities and Entertainment

Keeping children engaged is key to a smooth-running party. A mix of structured activities and free play works best.

Entertainment Ideas:

  • Hire a children’s entertainer – magicians, clowns, puppeteers, and face painters are always a hit.

  • Run a science party with fun hands-on experiments (check out LoveScience.co.uk for ideas!).

  • Set up craft stations for children to decorate cupcakes, make friendship bracelets, or create their own party hats.

Games & Activities:

  • Traditional games like pass the parcel, musical statues, and pin the tail on the donkey never go out of fashion.

  • Outdoor parties? Try a treasure hunt, relay races, or giant bubble-making.

  • For older kids, consider a mini escape room or scavenger hunt with clues leading to a prize.

Timing Tip:

  • A party should be 2 hours long – enough time for fun but not so long that children (or parents!) get overwhelmed.

Step 3: Food & Drink

Catering for a children’s party doesn’t have to be complicated. Keep it simple, easy to eat, and consider allergies or dietary requirements.

Top Food Tips:

  • Finger foods work best – think sandwiches, sausage rolls, mini pizzas, cucumber and carrot sticks, and fruit skewers.

  • Avoid foods that need cutting up or could be choking hazards for younger guests.

  • Label food clearly if there are allergies (e.g. nut-free, dairy-free).

The Birthday Cake:

  • Whether homemade or shop-bought, a cake is the centrepiece of the party.

  • If your child prefers cupcakes, consider a cupcake tower so everyone gets an individual treat.

Drinks:

  • Provide water and sugar-free squash to keep kids hydrated without the sugar rush!

Step 4: Managing the Party on the Day

Even with the best planning, things can feel chaotic on the day. Here are some tricks to keep everything running smoothly:

Have a Schedule:

  • Plan out when games, food, and cake will happen so the party flows well.

Keep an Eye on Safety:

  • Have a first-aid kit handy and ensure there are enough adults to supervise.

  • If hosting at home, put away anything valuable or breakable before guests arrive!

Plan a Wind-Down Activity:

  • Towards the end, have a quiet activity like a short story, a bubble machine, or a colouring-in station to help calm kids before home time.

Party Bags:

  • A small party bag with a piece of cake, a small toy, and a thank-you note is a great way to finish the party on a high.

  • Avoid cheap plastic tat – consider eco-friendly options like seed packets, books, or craft kits.

Step 5: Just enjoy it!

It can all feel very stressful to get things organised and make sure everyone is happy and having a good time, but it is a fun filled day that the children will love so make sure you sit back and enjoy it once all the planning is done!
